Privacy Policy

This policy explains what personal data Codilated collects through this website and our services, why we collect it, how long we keep it and what rights you have. We have tried to write it in plain language rather than legal boilerplate.

The short version

We collect the minimum we need to run the site and respond to enquiries. We do not sell personal data. We do not run advertising trackers on this site. Analytics is anonymised, and non-essential cookies only load if you accept them.

1. Data you give us directly

When you submit the contact form we collect the name, email address, phone number and project details you enter. We use this solely to respond to your enquiry and, if we go on to work together, to administer the engagement. The legal basis is your consent and, once a contract exists, the performance of that contract.

If you subscribe to our newsletter we collect your email address and use it only to send the content you signed up for. Every email includes a one-click unsubscribe link, and unsubscribing removes you from the list immediately.

2. Data collected automatically

Like any web server, ours records technical information each time a page is requested: the page requested, referring page, browser and operating system type, approximate region derived from your IP address, and the date and time. This data is used to keep the site secure and working, and to understand aggregate usage. It is not used to identify individuals, and server logs are deleted after 30 days.

3. Cookies and similar technologies

Essential cookies are needed for the site to function and for your cookie preferences to be remembered; these are set without consent because the site cannot work without them. Any non-essential cookie, analytics, embedded media, form anti-spam, is loaded only after you accept it in the cookie banner. You can change or withdraw your choice at any time through the cookie settings link in the footer, and you can block or delete cookies in your browser settings.

4. Analytics

We use privacy-respecting analytics to understand which pages are useful. IP addresses are truncated before storage, we do not build cross-site profiles, and the data cannot be traced back to an individual. Analytics loads only with your consent.

5. Third parties who process data for us

We use a small number of service providers to run this site and our business, including our hosting provider, email delivery service, form anti-spam service and analytics provider. Each acts on our instructions under a data processing agreement, and none is permitted to use your data for its own purposes. Where a provider processes data outside your country, we rely on Standard Contractual Clauses or an equivalent recognised transfer mechanism.

6. reCAPTCHA

Our contact form uses a spam-protection service to distinguish human submissions from automated ones. It loads only after you accept the relevant cookie category, and it processes technical signals about your interaction with the form. If you would rather not use it, email us directly instead.

7. How long we keep data

Enquiries that do not lead to a project are deleted after 12 months. Records relating to actual engagements are kept for the period required by tax and contract law, typically seven years. Newsletter subscriptions are kept until you unsubscribe. Server logs are kept for 30 days.

8. Your rights

You have the right to access the personal data we hold about you, to have inaccurate data corrected, to have your data deleted, to restrict or object to processing, to receive your data in a portable format, and to withdraw consent at any time without affecting processing already carried out. Depending on where you live you may also have the right to opt out of any sale or sharing of personal information, we do not sell or share personal information in the first place.

To exercise any of these rights, email info@codilated.com. We will respond within 30 days. If you are unhappy with our response you have the right to complain to your local data protection authority.

9. Data security

The site is served over HTTPS. Access to personal data inside our business is limited to the people who need it, protected by multi-factor authentication, and reviewed regularly. No system is perfectly secure, but we take these obligations seriously and will notify you and the relevant authority promptly if a breach affects your data.

10. Children

This site is not directed at children and we do not knowingly collect personal data from anyone under 16. If you believe a child has provided us with personal data, contact us and we will delete it.

Our site links to other websites. We are not responsible for their content or their privacy practices, and we would encourage you to read the privacy policy of any site you visit from here.

12. Changes to this policy

We may update this policy as our services or the law change. The current version is always published on this page with the date it took effect.
